As an organization Owner or Admin, you control which models, chat capabilities, privacy rules, and spending limits apply to your workspace. This guide walks through the five settings administrators look for first, including features like Document Creation that are off by default until you switch them on.

How to Open Team Settings

  1. Look at the bottom-left corner of the main navigation bar and click your User Avatar.
  2. Select Team Settings from the menu (or navigate directly to https://chat.omnifact.ai/organization).
Only users with the Owner or Admin role see Team Settings. Need a dedicated administrator account that only manages settings without using chat? Contact support@omnifact.ai to configure a free admin-only user.

5-Step Setup Checklist for New Admins

1. Switch on Document Creation, Image Upload, and Web Search

All chat capabilities (such as generating Excel, Word, and PowerPoint files, uploading images, and searching the web) are managed per user group in Team Settings > Groups.
  1. Go to Team Settings > Groups and click the built-in Everyone group (which sets baseline access for all users).
  2. Open the Permissions tab.
  3. Under Feature Access, enable the capabilities you want your team to have:
    • Execute Code (incl. Document Creation): Off by default. Turn this on so users can generate formatted Excel (.xlsx), Word (.docx), and PowerPoint (.pptx) files and run data analysis in chat.
    • Upload Files & Attachments: Allow users to attach PDFs, Office files, and text files in chat.
    • Upload Images: Allow users to attach screenshots, charts, and photos. (Note: image pixels bypass the Privacy Filter.)
    • Use Web Search and Browsing: Allow the agent to search live web pages with citations.
    • Generate Images: Allow users to create images in chat.

2. Choose Your AI Models and Enforce Data Residency

Decide which AI providers and model tiers your organization can use:
  1. Go to Team Settings > Models to toggle individual models on or off across providers (Azure OpenAI, Anthropic (EU), Google (EU), Mistral AI, OpenAI, Anthropic, Google).
  2. To restrict your team to EU-hosted models only:
    • On Team Settings > Models, keep only EU-hosted providers enabled (Mistral AI, Azure OpenAI, Anthropic (EU), and Google (EU)) and turn off US-hosted models.
    • In Team Settings > Groups > Everyone > Permissions, ensure Enable US-Hosted Models Access (under Privacy & Compliance) is turned off.
  3. To restrict expensive frontier models: Under Model Access on the Everyone group, you can turn off Use Premium Models and grant it only to specific department groups.
See the Model Guide and Data Residency, Retention & Compliance for full details.

3. Set a Per-User Spending Limit and Review AI Credits

Your organization shares a pooled monthly AI budget (€9/user/month included in the standard €25 seat price, with no month-to-month rollover). To prevent a single heavy user from draining the shared pool:
  1. Go to Team Settings > Billing & Usage.
  2. On the Per-user spending limit card, click Set and enter a default monthly cap per user (for example, €15.00 or €20.00).
  3. Decide whether to toggle on Allow base models after the spending limit is reached so users who hit their cap can keep working on efficient base-tier models.
  4. Need more organization budget? Click Add More Credits under Monthly Usage Credit to immediately top up your monthly credit allocation.
4

4. Verify the Privacy Filter

Go to Team Settings > Data Privacy and confirm the Omnifact Privacy Filter™ is Enabled (the default). If specific trusted teams (such as developers or legal reviewers) occasionally need to turn off masking for an individual chat, grant Allow Privacy Filter Bypass only to their group in Team Settings > Groups > Permissions rather than disabling the filter organization-wide.
5

5. Invite Users, Enforce 2FA, or Connect SSO / SCIM

  1. Go to Team Settings > Users to invite team members individually or via CSV import (with a dry-run cost preview).
  2. Open the Security and Access tab in Users to require Two-Factor Authentication (2FA) across your organization.
  3. On the Enterprise Plan? Contact support@omnifact.ai to enable SAML Single Sign-On (SSO) and SCIM group synchronization (including Microsoft Entra ID / Azure AD, Okta, and Google Workspace) so your directory groups sync automatically into Team Settings > Groups.
